Frequently Asked Questions
Answers to the most common questions about tracking troops, costumes, and garrison memberships in TroopList.
Getting Started
What is TroopList?
TroopList is a personal dashboard for Star Wars costumers. It lets you log every troop you attend, track each of your costumes and its approval status across the clubs you belong to, record your garrison memberships, and watch your trooping stats, streaks, and milestones build up over time, all in one place, no matter how many clubs you're part of.
Is TroopList free?
Yes, TroopList is free to use. Donations are always appreciated.
What clubs are supported?
7 clubs: 501st Legion, Rebel Legion, Saber Guild, Mandalorian Protectors Costume Club, Mandalorian Mercs Costume Club, The Dark Empire, The Sith Dynasty. To add new clubs, please email admin@trooplist.com
Is TroopList official?
TroopList is an independent, unofficial tool, not affiliated with or endorsed by the 501st Legion, Rebel Legion, or any other club, nor by LucasFilm/Disney. It is the member's personal troop record, not an official record for any club.
How do I sign up?
Click 'Sign Up' at the top of the page and register with your email address and a password. Once you're in, you'll be walked through a short setup process to add your clubs, costumes, and troops so your dashboard is ready to use right away.
What happens after I sign up?
Upon signing up, you will be walked through an onboarding process, allowing you to add your clubs, costumes and troops quickly and easily to get you started. You can skip the onboarding at any time, and add things manually if you prefer more control.
Who can see my data?
Data is private for each member by default. Two things are published only if you choose to: opting in to the Leaderboards shares your display name, garrison and troop counts with signed-in members; and a Public Profile shows your name, troop totals, clubs, badges and approved costumes with their photos to anyone with its link — never your troop names, dates, locations or notes. Turning a Public Profile off removes the page, but not copies or links someone already saved. Beyond that, the TroopList Admin can see your data, for troubleshooting purposes. Your data will never be shared without your permission.
What does TroopList record when something breaks?
If a page fails to load or a save doesn't go through, TroopList records what went wrong — the error, the page it happened on, and your account's ID — so it can be fixed. It never records your troop or costume details, your email address or your IP address. These reports are kept by Sentry, our error-tracking service, for 30 days. If you see a reference code on an error message, quoting it when you report the problem points straight to the right report.
Troops
What's the difference between trooping and wrangling?
Troops follow the internal club meaning, specifically attending an official in person or virtual event in an approved costume. Wrangling troops are troops where you are out of costume, helping other members, taking photos for visitors, manning PR tables, or helping setup sets/decorations. A given troop may qualify for both categories, depending on the trooper.
What's the difference between a virtual and in-person troop?
Virtual troops are troops run by specific clubs or detatchments, typicaly requiring the user meet specific criteria and/or submit specific pictures to qualify. Details of these can be found on each club's forums, and typically count as official troops for yearly troop requirement.
What is an upcoming troop?
In TroopList upcoming troops are troops that you have added to the tracker, but which have not yet occured. These will show up on your home page sidebar, and will appear in the alerts bar as the date of the event approaches. There are plans to add email reminders in the future as well.
Costumes
How does approval tracking work?
TroopList tracks each costume's approval separately for every club you submit it to, so the same costume can be approved with one club while still under review with another. A submission moves through stages — not approved, submitted (waiting on the club), then day-passed or approved once the club clears it, and retired when you stop trooping it. You log each step as a dated event on the costume, and TroopList keeps the whole timeline so you always know exactly where each costume stands with each club.
What's the difference between approved and day-passed?
Both mean the costume is cleared to troop for that club. 'Approved' is full approval against the club's costume standards. A 'day pass' is a temporary clearance that lets you troop the costume at an event before it has been fully approved. TroopList treats both the same way for trooping, so either status lets you pick that costume when you log a troop.
What does retiring a costume do?
Retiring a costume marks it as one you're no longer actively trooping. It stays in your records with all of its history intact, but it's left out of your active costume counts and can't be selected when logging new troops. Use it for costumes you've sold, replaced, or simply stopped wearing, without losing any of the troops you already logged in it.
What is a detachment?
A detachment is a sub-group within a club built around a type of costume — like the stormtroopers' FISD or the bounty hunters' BHG. You can tag a costume with the detachment(s) it belongs to from the costume's edit screen. The picker only offers detachments for clubs where that costume is already approved or day-passed, which is why detachments are added when you edit a costume rather than when you first create it.
Clubs & Garrisons
What's the difference between a club, a garrison, and a detachment?
Clubs are the highest level of organization for a club, typically encompassing national or international costuming groups. Within each club, Garrisons are typically specific regional groupings of members, who typically troop together. Detatchments are sub-groups of specific types of costumes within each club, like Jolly Roger Squadron or the Rebel Legion Starfighter Command.
What do the membership statuses mean?
There are four. 'Active' means you're a current member of that garrison. 'Reserve' is for members who are stepping back but still affiliated. 'Retired' is for memberships you've ended. 'Recruit' is special: it means you're in the process of joining or recruiting for that garrison but aren't a member yet — so recruit memberships aren't counted as active and don't trigger membership alerts.
What's the difference between a represented club and an approved club?
They describe two different things. A represented club is a club you were standing in for at a particular troop — you can represent more than one club at a single event. An approved club is a club that has approved (or day-passed) one of your costumes, meaning that costume may be used for it. In short: represented clubs are about the events you attend, approved clubs are about your costumes' status.
Leaderboards
What are the leaderboards?
The leaderboards rank garrisons against each other by trooping activity, and rank members within a garrison. They're opt-in, so they only include members who have chosen to share their numbers. You can rank by total troops or by per-member average (so garrison size doesn't decide the board) and filter by time period, to see how your garrison — and you within it — are doing.
How do I join the leaderboard?
Open the Settings page and go to the Leaderboard Visibility section. Set a display name first if you haven't already, then click 'Join the leaderboard.' From then on your display name, garrison, and troop counts appear on your garrisons' boards. You can leave again at any time from the same place.
Can I view the leaderboard without opting in, and how do I opt out?
Yes, any signed-in member can view the leaderboards whether or not they've opted in. Opting in only controls whether you appear on them; browsing without joining shows the boards in spectator mode with your own spot left blank. To opt out later, go to Settings, Leaderboard Visibility, and click 'Leave the leaderboard', and you're removed right away.
Calendar Feed
What is the Calendar Feed?
The Calendar Feed is a private link you can subscribe to from Google Calendar, Apple Calendar, or Outlook. Once you're subscribed, every troop you log shows up as an all-day event in your calendar, and your calendar app re-checks the feed on its own — so you set it up once and it stays in sync as you add or change troops.
Is my feed link private?
Yes. The link contains a secret token, and anyone who has it can see your troop schedule without signing in, so treat it like a password and don't post it publicly. If it's ever exposed, you can reset it to make the old link stop working.
Why can't I filter the feed?
A subscribed calendar mirrors the feed exactly, so anything the feed left out would be deleted from your calendar. That's why it includes every troop — past and future, attended or not — instead of filtering: showing only upcoming troops would erase your trooping history from your calendar, and hiding unattended ones would make events blink in and out as you set flags. Keeping it complete is deliberate.
